When to Update Menus
Update when prices change. This is the obvious one, but plenty of businesses stick with outdated menus because reprinting feels like a hassle. Customers who see one price on the menu and get charged another at the till don't come back feeling good about it.
Update seasonally if your offerings change. A cafe that rotates specials, a restaurant with seasonal produce, or a bar with a changing cocktail list should plan for at least four menu updates a year. Choosing the right menu format upfront makes this easier and cheaper.
Replace when they look tired. Stained, dog-eared, sun-faded menus communicate neglect. If a customer would notice the wear, it's time. Laminated menus last longer between replacements. Paper menus need replacing more often but cost less per unit.

Replace when they're visibly faded or damaged. A sun-bleached banner or a peeling window decal does more harm than no sign at all. It tells people you've stopped paying attention.
Update when your branding changes. New logo, new colours, new name - update all signage at once to maintain consistency. Mismatched branding across different signs looks messy and unprofessional.
Add seasonal or promotional signage on a cycle. A-frames, window promotions, and event banners should change regularly. A sign that says "Summer Special" in July is worse than no sign. Plan your promotional signage alongside your marketing calendar.

Order slightly more than you need. Having a few spare menus or signs on hand means you can replace damaged ones immediately rather than waiting for a reprint.
